By accessing or using our website, booking appointments, or utilizing any of our veterinary, behavioral, or educational services, you agree to comply with and be bound by the following Terms of Service. Please read them carefully. These terms apply to all visitors, clients, and users of our digital and physical facilities.

1. Scope of Services

Idyllwild Pet Conservatory provides veterinary medicine, preventive wellness exams, behavioral consultations, nutritional counseling, educational workshops, and community outreach. All services are delivered by licensed professionals in accordance with California state veterinary regulations. Our “conservatory” model emphasizes owner education and shared decision-making; recommendations are always evidence-based but tailored to each pet’s unique needs.

Emergency services are available via our 24/7 helpline. However, in critical situations, we advise seeking immediate care at the nearest emergency animal hospital when we are physically closed. Our mobile clinic offers limited services; please confirm availability when booking.

2. Appointments & Cancellations

Scheduling an appointment with us (in-clinic, telemedicine, or mobile) confirms your acceptance of these terms. We require at least 24 hours’ notice for cancellations or rescheduling. Late cancellations or no-shows may incur a fee of $50 to respect our team’s time and other families waiting for care. For recurring behavioral or rehabilitation sessions, a separate deposit may be requested.

We understand emergencies happen — please communicate directly if you cannot make an appointment. Inclement weather in the Idyllwild mountain area may result in last-minute closures; we will notify you as soon as possible and waive any cancellation fees.

3. Fees & Payment Policies

All fees for examinations, procedures, vaccines, lab work, products, and educational sessions are due at the time of service unless prior arrangements have been made. We accept cash, credit/debit cards (Visa, Mastercard, Amex, Discover), and care financing via third-party partners (e.g., CareCredit). Estimates are provided upon request, but unexpected complications may arise during procedures; you will be informed before any additional charges are incurred.

For surgical or advanced dental procedures, a deposit of 50% of the estimated total may be required at the time of booking. Any unpaid balances after 30 days will accrue interest at 1.5% per month and may be sent to collections. If you face financial hardship, please speak with our care coordinator — we offer limited sliding-scale assistance and payment plans through our “Community Paws” fund.

4. Medical Disclaimer & Informed Consent

While our veterinarians and staff are highly trained, veterinary medicine is not an exact science. No outcome — including diagnosis, treatment success, or prognosis — can be guaranteed. By consenting to any procedure (vaccination, surgery, diagnostics, or behavioral plan), you acknowledge that risks such as anesthesia complications, infection, or unforeseen reactions exist. We will always explain known risks and alternatives, and we require signed consent forms for invasive procedures or hospitalizations.

You are responsible for providing accurate and complete medical history for your pet, including previous conditions, medications, and behavioral concerns. Failure to disclose relevant information may compromise care and void certain liabilities.

5. Use of Website & Digital Content

Our website (idyllwildpetconservatory.org) offers educational articles, blog posts, webinar recordings, and downloadable resources. All content is for informational purposes only and does not substitute for direct veterinary advice. You should not delay seeking professional care based on information from our site. We strive for accuracy but do not warrant that all materials are error‑free or up‑to‑date.

You may not reproduce, redistribute, or commercially exploit any content without prior written permission from Idyllwild Pet Conservatory. Social sharing with credit is welcomed. You also agree not to use our website for any unlawful purpose, to transmit malware, or to harass our staff or other users.

6. Client Conduct & Safety

We maintain a low‑stress, fear‑free environment for pets and people. Aggressive, threatening, or disrespectful behavior toward our team, other clients, or animals may result in immediate termination of services and a ban from our facilities. We reserve the right to refuse service to anyone who violates this standard of compassion. All pets must be on a leash or in a carrier unless otherwise directed by staff, and you are responsible for your pet’s behavior while on our premises.

7. Telemedicine & Virtual Consultations

Where permitted by law, we offer virtual consultations for follow‑ups, behavioral guidance, and triage. Telemedicine does not replace physical exams where necessary. You consent to the transmission of your pet’s medical information over encrypted channels; however, no electronic communication is 100% secure. We will document virtual visits in your pet’s medical record. If we determine that an in‑person exam is required, we will advise you accordingly.

8. Limitation of Liability

To the fullest extent permitted by law, Idyllwild Pet Conservatory, its owners, veterinarians, employees, and volunteers shall not be held liable for any indirect, incidental, special, or consequential damages arising from the use of our services, website, or recommendations, even if advised of the possibility of such damages. Our total liability for any claim related to veterinary services is limited to the fees you paid for the specific service in question. Nothing in this section limits liability for gross negligence or intentional misconduct.

9. Privacy & Data Collection

Your privacy is important. Our collection and use of personal and medical information are governed by our Privacy Policy and Cookies Policy. By using our services, you consent to the data practices described therein. We do not sell client information to third parties. Medical records are retained in accordance with California veterinary record retention laws (minimum 3 years post last visit, or as otherwise required).

13. Governing Law & Dispute Resolution

These terms shall be governed by and construed in accordance with the laws of the State of California, without regard to conflict of law principles. Any dispute arising from these terms or our services shall first be attempted to be resolved through good‑faith negotiation. If unresolved, the dispute shall be submitted to binding arbitration in Riverside County, California, under the rules of the American Arbitration Association, unless the claim qualifies for small claims court. You agree to waive any right to a jury trial or to participate in a class action lawsuit against Idyllwild Pet Conservatory.
